At Kasbah AI, we strive to provide exceptional service to all our healthcare customers. This policy outlines our refund and cancellation procedures for both our platform subscription services and medical supply orders processed through our system.

Subscription Service Refunds

Monthly Subscriptions

  • Cancellation can be made at any time
  • No refunds for partial months used
  • Service continues until the end of current billing period
  • No additional charges after cancellation

Annual Subscriptions

  • Full refund available within 30 days of initial purchase
  • Prorated refunds for unused months (minimum 6 months remaining)
  • No refunds for subscriptions active longer than 6 months
  • Cancellation takes effect immediately upon request

Enterprise Plans

Enterprise customers have custom refund terms outlined in their service agreement. Please contact your account manager for specific details about your refund policy.

Medical Supply Order Cancellations

Order Status Guidelines

✅ Can Cancel

  • • Order placed but not confirmed
  • • Confirmed but not shipped
  • • Vendor has not started processing

❌ Cannot Cancel

  • • Already shipped or in transit
  • • Custom or special order items
  • • Perishable medical supplies

Cancellation Process

  1. Log into your Kasbah dashboard
  2. Navigate to "Order History"
  3. Find the order and click "Request Cancellation"
  4. Provide reason for cancellation
  5. Receive confirmation within 2 hours

Refund Processing

Processing Times

  • Credit Card: 3-5 business days
  • ACH/Bank Transfer: 5-7 business days
  • Check: 10-14 business days
  • PayPal: 1-3 business days

Refund Method

Refunds are processed using the same payment method as the original purchase. We cannot process refunds to different payment methods for security reasons.

Special Circumstances

Medical Emergency Situations

We understand that healthcare environments can have urgent needs. In cases of medical emergencies or patient safety concerns, we may expedite cancellations and refunds on a case-by-case basis.

Service Disruptions

If our platform experiences significant downtime or service disruptions that affect your ability to conduct business, we may provide service credits or prorated refunds.

Defective or Damaged Items

  • Full refund or replacement for damaged items
  • Report damage within 48 hours of delivery
  • Photos required for damage claims
  • We coordinate directly with vendors for resolution

Non-Refundable Items

The following items are generally non-refundable:

  • Custom-manufactured medical devices
  • Personalized or engraved items
  • Prescription medications and controlled substances
  • Opened sterile packages (unless defective)
  • Temperature-sensitive biological materials
  • Software licenses or digital downloads

How to Request a Refund

For Subscription Services

  2. Provide your account details and reason for refund
  3. We'll review your request within 24 hours
  4. Approved refunds are processed within 5 business days

For Medical Supply Orders

  1. Use the cancellation feature in your dashboard
  2. Or email orders@kasbahmed.ai with order number
  3. Include reason for refund request
  4. Attach any relevant documentation or photos
  5. Receive status update within 2 hours

Dispute Resolution

If you're not satisfied with our refund decision, you have the following options:

  • Request escalation to our customer success manager
  • File a complaint with your credit card company
  • Contact your state's healthcare regulatory authority
  • Use the arbitration process outlined in our Terms of Service
